Slack Notifications with HubSpot
The content provides a step-by-step guide on integrating Slack with HubSpot, including the necessary admin permissions and email matching, and details how to create a HubSpot Workflow that triggers Slack notifications based on specific Tourial View Timeline Event criteria, such as tour name and visitor engagement time, allowing customization of notification messages and target Slack channels.
If you haven't integrated HubSpot with your Slack instance yet, you'll need to start there. If it's already connected, you'll start with Workflows.
Connect Slack to your HubSpot instance
Integration requirements
- You must be a super admin or have App Marketplace permissions in your HubSpot account.
- You must be an admin in the Slack workspace you're connecting.
- Your HubSpot email must match your Slack user email.
Connecting Slack
- 1.In your HubSpot account, click the Marketplace icon in the main navigation bar, then select App Marketplace.
- 2.Search for the Slack integration, and select Slack.
- 3.In the top right, click Connect app. You'll be redirected to Slack in a new browser tab.
- 4.Review the requested permissions, then click Allow.
Using a HubSpot Workflow to send Slack notifications
- 1.In your HubSpot account, go to Automation and select Workflows.
- 2.Select Create New Workflow from scratch.
- 3.To create your workflow trigger, scroll down and select Tourial View Timeline Event.
- 4.Now select your criteria. For the purpose of this, start with Tourial Name.
- If you only want to trigger a Slack notification for one specific Tour, enter the name (or use Tourial URL instead) exactly as it appears.
- Tip: If you have several tours with the same naming convention, you could use "starts with" instead of "equal" to capture all tours that start with a certain phrase.
- 5.Add any other criteria layers on top. For example, use Tourial: Time Spent (Seconds) to only send notifications if a visitor spends at least X seconds in your tour.
- 6.Add actions to your workflow. To add a Slack notification, click the + icon and select Send Slack notification.
- 7.Choose the Slack channel you want to send the notification to and enter the message and any contact tokens (email, contact owner, etc.).
- It's recommended to include Tourial Engagement Data, such as Tourial: Last Tourial Viewed, to show the name of the most recently engaged Tourial.
- 8.Click Save. Then publish your workflow.
Note: To ensure leads can enter the workflow multiple times (for example, if they continue engaging with a tour or other tours), update the Re-enrollment settings before you publish the workflow.
There are many ways you can use HubSpot workflows, Tourial Engagement Data, and Slack notifications. For example, if a prospect views a tour that a sales team member sent, or revisits the website and views it again, you can automatically send a Slack notification to that team member so they're aware their prospect is actively engaging with a tour.
Use the Send notification to existing owners setting when creating your Slack notification. This will send both a channel notification and a direct message at the same time, increasing visibility.
